How to schedule Instagram posts, Reels and Stories

Scheduling Instagram posts means writing them when you have time and letting them publish automatically later, with no phone reminder at the moment of posting. It works for feed posts, carousels, Reels and Stories, as long as the account and the files meet Instagram's rules. Those rules are where most people get stuck, so this guide covers them in order.

The steps use Join Postly as the example. The professional-account requirement applies to every tool that publishes through Instagram's official API; the linked Facebook Page is needed by tools that connect through Facebook Login, as Join Postly does. Meta's own Business Suite can also schedule posts if you prefer to stay inside Meta's tools.

What do you need before you can schedule Instagram posts?

You need three things: an Instagram professional account, a Facebook Page linked to it, and admin access to that Page. Instagram does not allow apps to publish to personal accounts.

  • A professional account. Business or Creator both work. The switch is free and changes no followers or posts.
  • A linked Facebook Page. When you connect through Facebook Login, the app reaches your Instagram account through the Page it is linked to.
  • Access to that Page. You sign in with the Facebook profile that manages the Page.

How do you switch to a professional account and link a Page?

Both steps happen in Meta's apps, not in the scheduler. Menu names move around between app versions, so look for the wording below rather than an exact path.

  1. In the Instagram app, open your profile, then Settings. Find the account type option (at the time of writing it sits under "Account type and tools") and choose to switch to a professional account.
  2. Pick Creator or Business. Business suits companies and shops; Creator suits individuals. Either works for scheduling.
  3. Link a Facebook Page. Instagram offers this during the switch; you can also do it later from the Page's settings in Facebook, under linked accounts. Create a Page first if you don't have one.

How do you connect Instagram to a scheduler?

Instagram connects through Facebook Login: you sign in with Facebook and choose which Pages and Instagram accounts the app may use.

  1. In Join Postly, open Connected Accounts and choose Facebook or Instagram. One Meta login covers both.
  2. Sign in with the Facebook profile that manages the Page.
  3. Select the Pages and Instagram accounts to allow, and approve the permissions.
  4. The accounts appear in the composer under "Post to" straight away.

If an account later shows a "Reconnect" badge, Instagram stopped accepting the connection, for example after a password change or removed access. Click Reconnect and sign in again.

How do you schedule a feed post or carousel?

Choose the Post type, add your photos or videos, pick the Instagram account, write the caption and pick a date and time. Adding more than one item turns the post into a carousel.

  1. Open Create and choose Post.
  2. Add up to 10 photos and videos. Photos must be JPEG, between 4:5 and 1.91:1, and up to 8 MB each.
  3. Under "Post to", select the Instagram account. Accounts that can't take the post are flagged with the reason.
  4. Write the caption. Only about the first 125 characters show before "more", so lead with the point.
  5. Optional extras: a first comment, a location, people tags on photos, up to 3 collaborators, and alt text on each photo.
  6. Click Schedule, pick the date and time, and confirm. Or save a draft to finish later.

Scheduled posts appear in the Calendar (month or week view) and in the Queue, where you can edit them until they publish.

How do you schedule Reels and Stories?

Pick Reel/Video or Story as the post type instead of Post. The rest of the flow is the same, with a few options of its own.

Reels

A Reel is one video of 3 sec to 15 min, up to 300 MB. Export it vertically at 9:16. You can choose which second of the video becomes the cover, and whether the Reel also appears on your profile grid.

Stories

A Story is one photo or one video of up to 60 sec. Story photos must be JPEG, up to 8 MB, and videos up to 100 MB. Design them at 1080 × 1920 and keep text away from the top and bottom edges, where Instagram places its own buttons.

Which file rules and limits make scheduled posts fail?

Most failed Instagram posts break one of these rules. They are the limits Join Postly checks before a post is scheduled.

A text-only post isn't possible on Instagram: every post needs at least one photo or video. Instagram has also been changing how many hashtags it allows, so check the current limit in the app; a handful of specific hashtags is a sensible default either way.

Should hashtags and links go in the first comment?

Hashtags can go in either place; putting them in the first comment simply keeps the caption easier to read. Links are different: Instagram doesn't make links in captions or comments clickable, so a URL there is mostly for people willing to copy it.

For a clickable link, use the link on your profile and point to it in the caption ("link in bio"). A link in bio page lets that one profile link lead to several destinations. Story link stickers are another option, added in the Instagram app.

What saves time once posts are scheduled?

A few features turn scheduling from one post at a time into a weekly routine.

  • Repeat: make a recurring post that goes out every day, week, two weeks or month.
  • Bulk schedule: upload a CSV of up to 200 posts with date, time, caption, an optional media link and the post type.
  • Client approval: send a link so a client can approve a post or request changes before it publishes.
  • Failed posts: the reason shows under each account, and Retry sends it again after you fix it.

Frequently asked questions

Can I schedule posts to a personal Instagram account?

Not with an auto-publishing tool. Instagram only lets apps publish to professional accounts (Business or Creator). Switching is free in the Instagram app, and you can switch back later.

Does the Instagram first comment go out at the same time as the post?

In Join Postly the first comment is posted right after the post goes live, from the same account, so it appears as the first comment under the post.

Can a scheduled Instagram carousel mix photos and videos?

Yes. A carousel scheduled through Join Postly can hold up to 10 items, mixing JPEG photos and videos. Instagram counts the whole carousel as one post toward its daily publishing limit.

What happens when a scheduled Instagram post fails to publish?
